⚙️ Operation Regulation
1. Booth Installation & Operation
- Allowed Space
All exhibits shall be displayed within the registered space pre-applied by the exhibitor and shall not block the entrance or the exit.
Any sort of structural matter using the aisle is not permitted. All exhibits and installation equipment must be non-flammable.
- Overal Appearance
Exhibits seen from the aisle or neighboring booth shall be neatly displayed by the exhibitor. Decorations, lightings and acoustics shall not influence the neighboring exhibitors.
- Booth Layout Submission
All space-only exhibitors must submit the overall booth design & structuring plan to the organizer within the deadline for
Hall Manager’s confirmation.
- Booth Structure
Height of the booth is varied by its location. The booth structure / displayed exhibits shall not disrupt the emergency exit, aisles or the visitors’ path.
- Display of Exhibits
All exhibits shall be placed and displayed 30cm inside the booth. If not, the organizer will ask the exhibitor to shift the exhibits. This is to encourage fairness and equality for all exhibitors of Cafe Show
- Noise Regulation
The use of audio equipment for promotional purposes by participating companies within the Seoul Cafe Show venue must consider the impact on other participating companies and attendees. Speakers must be installed according to the following guidelines:
① The maximum noise level within a booth must not exceed 80 decibels (dB). Noise levels are measured at a distance of 3 meters from the front of the speaker, and the appropriate noise standard can be adjusted based on the opinions of the office and nearby participating companies.
② When aligning speakers with the booth line, the direction of the speaker must be directed inward.
③ Speakers installed at a height of more than 3 meters from the booth floor must be aligned with the booth's center or just below it.
④ When installing a video equipment, a certain distance must be maintained from the aisle to ensure it does not obstruct the passage of attendees.
If the organizer does not follow the organizer's instructions as described above and causes disruption to other participating companies and visitors, the organizer may strongly request the suspension of the use of audio/visual equipment. The exhibitor may be subject to compulsory execution and sanctions by the office and no compensation can be claimed against the organizer for any damages.
If an exhibitor fails to follow the organizer's guidelines as mentioned above and causes inconvenience to other participating companies or attendees, the organizer may strongly request the exhibitor to cease using the audio/visual equipment. Exhibitors cannot claim compensation from the organizer for damages resulting from the office's enforcement and sanctions.
- Exhibitors must deploy separate staff to ensure order and safety for attendees and should pay special attention to prevent harm to other booths. Events must strictly take place within exhibitor booths only; events in shared areas such as pathways are strictly limited.
- Exhibitors must submit a formal application for events and receive approval from the office. If any audio or visual equipment beyond
the category specified in the submitted application is brought in during the preparation or exhibition period, even if controlled, exhibitors cannot raise objections (Promotion 4 - Submission of Booth Event Application).
- These regulations are designed to maintain order within the exhibition venue and create a serious atmosphere for meaningful consultations, ultimately benefiting all exhibitors. These regulations are applied from the submission of the event application until the completion of the event. The types and contents of event programs for each exhibitor are allowed within the boundaries that do not undermine social norms and values.
- Safety
Safety actions shall be taken for mechanics/equipment that moves, vibrates or contains dangerous substance, before being exhibited. Management responsibility relies on the exhibitor.
e.g.) Dangerous material containers, X-ray generating devices, flammable materials and explosives, high-voltage devices, radioactive
materials, molecular accelerator, flammable appl, etc.
- Lighting
Usage of flash lights and rotating lights are banned within the exhibition hall. Spotlights from the booth should not disrupt other exhibitors.
- Aisle Managemet
All exhibitors have a responsibilities to keep their adjacent aisles clean. All exhibits must be placed within the allocated space and must not be placed on the aisles.
- Booth Construction and Design Changes
Exhibitors must receive an approval from the organizer in order to change the structure of the booth inside the exhibitor hall.
- Exhibition Hall Management
Nailing on the wall or the floor inside the exhibition hall is prohibited. Adhesive such as painting, or glue is also not allowed to be used on the stalls and the floor of the exhibition hall. If this regulation is violated, the exhibitor must compensate COEX for the damage caused.
- Exhibits Management
All exhibitors are fully responsible for any sort of theft, damage of their own exhibits, including their exhibiting stand, and cannot claim for compensation to the organizer.
- Management of Hazardous Items
Exhibitors must pre-report their own dangerous articles to the organizer and receive an approval for its use during the exhibition period.
After the carry-in of dangerous articles to the exhibition hall, exhibitors must seek for safety procedures to prevent possible accidents during the show.
- Sublease
Exhibitors are not permitted to sublease their stand to another company without a written signature by the organizer, apart from their mother company, interrelated enterprises or sister company. Exhibitors’ intentional sublease of stand to another company will cause the organizer to restrict their show participation.
- Cleaning
CafeShow Seoul will manage to keep the exhibition hall clean. During the show period, the organizer will take care of public area such as the aisles and public trash bins. However, any sort of trash occurring from booth installation during the preparation period shall be cleaned by the exhibitor.
- Wiring
Any kinds of wiring are bound to fire fight safety and management regulation. This regulation applies to booth & equipment installation.
- Emergency
In case of any theft, accident, or an abnormal event please report to the organizer’s office immediately.
